2 Presenting a professional image, both in person and on the telephone, is very important in an organization. Taking care of customers over the telephone and making them feel well informed and appreciated is essential. 3 A picture paints a thousand words but the caller on the other end of the phone can only hear you. They cannot see your face or body language. Therefore, taking the time to speak clearly, slowly and in a cheerful, professional voice is very important. 5 Do not eat or drink while you are on telephone. Only eat or drink during your coffee break or lunch break. Μθν τρϊτε ι πίνετε ενϊ είςτε ςτο τθλζφωνο. Να τρϊτε ι πίνετε κατά τθ διάρκεια του διαλείμματοσ για καφζ ι ςτο μεςθμεριανό διάλειμμα. 5

6 Do not use slang words or Poor Language. Respond clearly with yes or no when speaking. Never use swears words. Μθν χρθςιμοποιείτε λζξεισ αργκό ι κακι γλϊςςα. Απαντιςτε ξεκάκαρα με "ναι" ι "όχι" όταν μιλάτε. Ποτζ μθ χρθςιμοποιείτε υβριςτικζσ λζξεισ. 6

7 Address the Caller Properly by his or her title. (i.e. Good morning Mr. Brown, Good afternoon Ms. Sanders). Never address an unfamiliar caller by his or her first name.) 8 Listen to the Caller and what they have to say. The ability to listen is a problem in general but it is very important to listen to what the caller has to say. It is always a good habit to repeat the information back to the client when you are taking a message. Verify that you have heard and transcribed the message accurately. Ακοφςτε τον πελάτθ και τι ζχει να πει. Η ικανότθτα να ακοφμε είναι ζνα γενικό πρόβλθμα, αλλά είναι πολφ ςθμαντικό να ακοφςουμε τι ζχει να πει ο πελάτθσ. 9 Be patient and helpful. If a caller is irate or upset, listen to what they have to say and then refer them to the appropriate resource. Never snap back or act rude to the caller. Να είςτε υπομονετικοί και εξυπθρετικοί. Αν ο πελάτθσ είναι κυμωμζνοσ ι αναςτατωμζνοσ, να ακοφτε τι ζχει να πει και ςτθ ςυνζχεια να τον παραπζμψετε ςτο κατάλλθλο άτομο. 10 Always ask if you can put the caller on hold. Remember that the caller could have already waited several minutes before getting connected to you and may not take lightly to being put on hold. Never leave the person on hold for more than a few seconds or they may become upset and hang up. In addition do not answer a new line whilst you are on a call. It is not polite at all to answer to two or more calls at the same time and let one of the two to wait for you to finish. Πάντα να παίρνετε τθν άδεια του πελάτθ για να τον βάλετε ςε αναμονι. Να κυμάςτε ότι ο πελάτθσ κα μποροφςε να ζχει περιμζνει αρκετά λεπτά πριν να ςυνδεκεί με εςάσ και δεν μπορεί να λάβει ελαφρά τθ καρδία να τεκεί ςε αναμονι. Επιπρόςκετα, μθν απαντιςετε καινοφρια γραμμι αν μιλάτε ιδθ ςτο τθλζφωνο. Δεν είναι κακόλου ευγενικό να απαντιςετε ςε δφο ι περιςςότερεσ κλιςεισ ταυτόχρονα και να αφιςετε ζνα από τα δφο ςτθν αναμονι μζχρι να τελειϊςετε. 10

11 Try not to get destructed by people around you. If someone tries to interrupt you while you are on a call, politely remind them that you are on a customer call and that you will be with them as soon as you are finished. In these terms, you shall never answer a call if you are already servicing a customer in front of you. Furthermore, always bear in mind that your calls shall not be very long. It is understandable to spend time on the phone and provide excellent service whilst you consider that your average handling time of calls shall not exceed the 5 minutes. Προςπακιςτε να μθν αποςπάται θ προςοχι ςασ από τουσ ανκρϊπουσ γφρω ςασ. Αν κάποιοσ προςπακιςει να ςασ διακόψει, ενϊ βρίςκεςτε ςε μια κλιςθ, ευγενικά υπενκυμίςτε τον ότι είςτε ςε κλιςθ με πελάτθ και ότι κα είςτε μαηί του μόλισ τελειϊςετε. Με τθν ίδια λογικι, δεν πρζπει ποτζ να απαντάτε μια κλιςθ ενϊ εξυπθρετείτε κάποιο πελάτθ που κάκετε ςτο γραφείο ςασ. Επιπλζον, να λαμβάνεται πάντα υπόψθ ςασ ότι οι κλιςεισ ςασ δεν πρζπει να διαρκοφν πάρα πολλι ϊρα. Είναι κατανοθτό να περνοφμε χρόνο ςτο τθλζφωνο και να προςφζρουμε άριςτθ εξυπθρζτθςθ ενκυμοφμενοι ότι ο μέσος όρος χειριςμοφ μιασ κλιςθσ δεν πρζπει να ξεπερνά τα 5 λεπτά. 11

12 When calling a client or customer, whether in person or when leaving a message, always identify yourself properly by providing your name, company name and contact telephone number.
